Why preparation matters

Many sourcing delays start with unclear product requests. If the buyer only sends a short message such as “find this product,” suppliers may return random options, wrong quality levels, or prices that cannot be compared.

A good request helps the sourcing partner understand what you actually need and what trade-offs matter most.

What to include in your request

1. Product photos or links

Send clear product photos, supplier links, Amazon links, Alibaba links, videos, or screenshots. If you have a reference product, include multiple angles.

2. Product specification

Include size, color, material, weight, function, packaging, logo position, and any detail that affects cost or quality.

3. Quantity and order plan

State whether this is a sample, test order, or repeat order. Quantity affects supplier selection, MOQ, price, packing, and shipping method.

4. Target price or budget

If you have a target price, share it. If you do not know the price yet, explain the quality level and market you are selling to.

5. Destination country

Shipping cost and packaging planning depend on destination. Share the country and whether the goods are going to a warehouse, Amazon FBA, retail store, or your own address.

6. Packaging and branding needs

If you need logo packaging, labels, manuals, product sets, barcodes, or cartons, mention this early. Packaging often changes MOQ, sample cost, and lead time.

7. Quality concerns

List what must be checked before shipment: color, size, material, logo, quantity, carton label, product function, accessories, or packaging condition.

A useful first message can be simple: “I want to source this product. Here are photos/links, target quantity, destination, target price, and packaging requirement.”

Example request format

  • Product: attach photos or links.
  • Quantity: sample quantity and expected first order quantity.
  • Destination: country and delivery type.
  • Target price: if available.
  • Packaging: normal packing or custom logo packaging.
  • Support needed: supplier search, sample check, quality support, storage, or shipping coordination.
